Some common questions we get about the Resgrid pricing.

An Entity is a User or Unit in the Resgrid system. We charge based on the number of entities you have in your system. They could be all users or almost all units (you would need at least one user to manage the units).
A User represents a person in your organization. A Unit represents a piece of equipment, vehicle, group or team in your organization. Users have logins and can access the Resgrid system. Units do not have logins and are managed by Users and staffed by Users.
Entity pricing keeps the Resgrid core predictable: dispatch, communications, scheduling, personnel management, and responder-safety capabilities scale with the people and units in your organization. We do not meter calls, messages, records, or everyday feature usage. Optional specialty suites for finance, compliance, maintenance, large incidents, voice, and protected data are separately and clearly priced, so you choose them only when they fit your mission.
Yes, you can change your plan at any time. You can also cancel at any time. We do not offer refunds for unused time on your subscription. We have a lot of customers that use Resgrid for a few months out of the year and then reduce their entities to a lower plan for the rest of the year.
Just contact us! We can work with you to get you the entities you need. There is no maximum number of entities you can have in Resgrid.
Resgrid has a free tier for up to 10 entities. You can use Resgrid for free forever with up to 10 entities. At any time you can upgrade to a paid plan and downgrade back to free to keep all your data in tact for when you need it again.
Resgrid does not delete your data when you downgrade. We keep all your data in tact for when you need it again. For example if you have a plan with 500 entities and you downgrade to a 250 entity plan, you will still have 500 entities in your system but the ones over 250 (based on when they were added) they won't be visible in most places. You can upgrade back to the 500 entity plan and all your data will be there. This gives you flexibility to use Resgrid for a few months out of the year and then downgrade to a lower plan for the rest of the year based on your usage patterns without losing any data or time re-adding the same data every year.
Occasionally we will raise prices. We try to avoid this as much as possible. We have only raised prices a few times in our companies history. We never increase prices for existing customers with active billing relationships. If you are on a plan and we raise prices, you will stay on your current plan and price.
Yes! Paid plans receive a 16% discount when billed annually instead of monthly. This annual plan discount does not apply to add-ons, including add-ons that are billed annually. We also offer discounts for non-profit first responder organizations. Contact us for more information.
No, due to abuse by spammers and rising costs for sending SMS Messages the Free plan allows for only Push Notification and Email only. You can send SMS messages for calls and messages (in addition to push and email) on our paid plans.
The Free plan is only available for North American customers (US-West Data Center) due to the higher cost of everything for our international environments. We are looking at ways to make a free plan available for international customers in the future.
For our North American data center (US-West) we have very low costs for our infrastructure and services, we self host. For our international data centers (EU-Central) we have much higher costs for our infrastructure and services.
Advanced Data Protection is an opt-in, per-department addon that encrypts the fields that can carry PHI and PII (call nature, notes, addresses, contact details, patient and ePCR data, personnel identifiers, contacts and more) with an encryption key that belongs only to your department and is held apart from the database. Revealing or editing a protected field requires a fresh MFA step-up, and workflows, notifications, logs and BigBoard receive redacted data instead of plaintext. It is $1,950/yr in North America and €2,550/yr in the EU.
Advanced Data Protection is billed yearly per department, even if your main subscription is billed monthly. Enabling it provisions dedicated key material in our key management service and migrates your existing data into the protected format, so it is sold as an annual commitment. It is separate from your main subscription and does not change your plan or entity count.
Yes, for departments with the Advanced Data Protection addon enabled. The addon provides the technical safeguards (field-level encryption of PHI, step-up authentication, minimum-necessary support access, notification egress control and value-free audit) that a BAA depends on, so we require it before signing. Add the addon, complete the self-service enrollment, then contact us to start the BAA process. The addon by itself is not HIPAA compliance; your configuration, policies, workforce practices and assessments matter too.
